AI agents that answer on WhatsApp, qualify the enquiry and book the job

Most enquiries in Zimbabwe arrive on WhatsApp, and most arrive after hours or while the one person who knows the answer is on site. We put AI agents on your WhatsApp Business number, your switchboard and your website: they answer in the customer's own words, gather what your team needs to quote, and write the result into your systems.

WhatsApp is the front door, not a side channel

WhatsApp is where customers here already are: cheap on a bundle, workable on an entry-level handset, more trusted than a contact form. That makes it your front desk — yet it is usually run from a personal phone, with no record, no handover and no visibility for management. A registered business number with an agent on it turns that traffic into something you can see and manage.

What an AI agent actually is

An AI agent is software that holds a conversation and then does something with it — not a menu tree where the customer presses 1 for sales. It reads the message, works out what is being asked, puts the questions your team would put, then acts: creating the lead, booking the slot, checking availability, raising the ticket. We build three kinds on one set of rules: a WhatsApp agent, a voice agent for the telephone out of hours, and a web agent.

Grounded in your information, not in guesswork

A general-purpose chatbot will invent a price rather than admit it does not know one, which loses the customer and creates a dispute. Our agents work only from sources you approve: your price list, service catalogue, availability and policies. Where the answer is not there, the agent says so and hands to a named person. Anything that commits the business — a discount, a credit decision, a refund — stays with a human.

Connected to the systems that hold the work

An agent that only chats creates a second inbox to clear. The value appears when the conversation finishes inside the system your team already uses, so we connect it to InOne CRM for pipelines, calendars and the unified inbox, and to whatever else holds the truth: a dealer management system, a property management system, an ERP or a stock file.

Built for how our networks and teams behave

We assume the network will drop, the power will go and the person on duty will change. Conversations queue and resume, so a customer who disappears mid-enquiry carries on next morning in the same thread, and escalation follows the roster rather than one individual's phone. Harris Auto runs Front Door, our WhatsApp concierge, in production; guest messaging is part of the Hotel OS build at Highlands House, a boutique lodge in Harare.

What it covers

Answers at any hour

Enquiries arriving overnight, at the weekend or on a public holiday get a real answer rather than a blue tick.

Qualifies before it escalates

It gathers photographs, registration numbers, locations or account details first, so whoever picks the enquiry up can act instead of starting again.

Voice notes and mixed languages

Customers send voice notes and switch between English, Shona and Ndebele mid-sentence. The agent transcribes, understands and replies in the language used.

One record of every conversation

Threads sit in a shared inbox, not on a personal handset, so the history survives when someone resigns.

Escalates instead of guessing

Where it is uncertain, or a commitment is needed, it hands over with a summary.

How it works

01

Site assessment

We sit with the people answering the phone and the WhatsApp line, read real conversations, and find where enquiries are actually lost. Existing numbers, systems and business hours are documented first.

02

Number and integration

We set up or migrate your WhatsApp Business number under your own company verification, then connect the agent to InOne CRM, your calendar and your operational systems. It observes and drafts replies for approval before it may answer alone.

03

Rules and guardrails

We write the conversation rules with you: what it may quote, what it must escalate, who receives which enquiry, and where it must stop. These are tested against real past conversations so you can see how it would have handled them.

04

Go live and tune

The agent takes the live channel with your team watching, and we review transcripts weekly, correcting wrong turns and widening what it handles. A first system is typically live in approximately four to six weeks.

Questions buyers ask

Will customers know they are talking to a machine?

Yes, and we recommend saying so plainly at the start. Customers care about a correct answer quickly and reaching a person when it matters; pretending otherwise damages trust the moment the agent hands over.

Do we have to change our WhatsApp number?

Usually not. An existing business number can normally be migrated onto the WhatsApp Business platform under your own company verification, which requires your registration documents. A number in use as a personal account must be moved deliberately, and we plan that step with you.

Who owns the number and the conversation data?

You do. The number is registered to your business and the history sits in your environment or a dedicated tenant, with a retention period agreed in writing. If the engagement ends, both stay with you.

How does this sit with Zimbabwe's data protection law?

The Cyber and Data Protection Act treats customer messages as personal data, so we design for it: a clear opt-in, a stated purpose, controlled access to the inbox, an agreed retention period, and a record of where the data is held.

Can it work alongside the team we already have?

That is the normal arrangement. The agent takes repetitive traffic — opening hours, availability, directions, status checks, simple bookings — and passes anything needing judgement to your staff with the background gathered.
