A fee earner rebuilds the week from a calendar and a half-remembered site visit, then rounds downward because the rest cannot be evidenced. We draft the timesheet from evidence that already exists — diary entries, outbound calls, documents opened against a matter, badge-in times, visits logged on a phone — for the person to accept, edit or discard.

Walk the office, follow one matter

Week zero. We spend a day with your operations, finance and IT people, follow one engagement from enquiry to paid invoice, and document the access hardware, diaries and systems already in place.

Connect and observe

Weeks one to three. We integrate door hardware, mailboxes, the document store, CRM and accounting package. The system reports only at this stage, so you can test its picture of the week against your own.

Agree the rules

Week four. Approval limits, escalation paths, what an agent may say to a client and which matters are excluded are settled with the partners accountable for them, then tested against historical files.

Go live with one team

Week five onward. One department or office runs live while we review exceptions weekly. A first system typically takes about four to six weeks; the rest of the firm follows.

Is this surveillance of our professional staff?

It is a records problem, not a monitoring one. The system drafts from evidence staff already generate and shows each person their own draft first; we build no productivity scoring or league tables. What is collected, who sees it and how long it is kept is agreed before go-live.

We are a twenty-person practice, not a corporate group. Is this oversized for us?

Smaller firms often gain more, because the administration falls on the people who earn the fees. Start with one thing — the enquiry pipeline, or billing and debtors — on systems you already pay for. There is no minimum headcount, only one bottleneck worth removing.

How is client-confidential and privileged material protected?

It sits in your environment or a dedicated tenant in a location you know, reachable by role, with a trail of who opened what. Specific clients or practice areas can be excluded from automated processing, and engineer access is granted for named work and withdrawn afterwards.

Can an AI agent speak to our clients without embarrassing us?

Within a narrow brief: acknowledging an enquiry, confirming what a matter concerns, booking a meeting, chasing a document, saying where an invoice stands. It does not advise, quote fees it has not been given, or speculate about a case or an audit finding, and you review the transcripts.

Our building is leased and the landlord controls the turnstiles. Does that stop us?

Usually not. Most building systems can supply an event feed or database view to a tenant; where the landlord will not, a reader or camera on your own floor covers your staff and visitors without touching their equipment.
