Casual labour is usually the largest controllable cost on an estate and the hardest to evidence. A card or facial recognition reader at the muster point records who actually arrived, and capture on a rugged phone or scanner records what each gang and picker produced, which matters where people are paid piece rate, meaning by quantity picked rather than hours present. Payroll then runs from those records rather than a supervisor's notebook.

The gate, the weighbridge and shrinkage nobody can explain

The gap between what left the land and what the silo, mill or grading shed recorded is hard to argue about without evidence. Automatic number plate recognition, meaning software that reads plates from a camera feed, logs each vehicle at the gate against an expected delivery, while a camera over the weighbridge captures the load, ticket and time alongside tare and gross weights. Moisture, grade and reject reasons attach to the same ticket, so a deviation becomes a same-day exception instead of a discrepancy found at stock count.

Outgrower schemes that run on WhatsApp

A scheme with several thousand growers produces more questions than field officers can answer by phone: where are my inputs, was my delivery received, when am I paid. An AI agent on WhatsApp answers from your own verified delivery and payment records, and hands over to a person the moment it is asked something it cannot confirm. Officers and the office then work from one record in InOne CRM.

Traceability a buyer or auditor will accept

Export horticulture, nuts, leaf and lint increasingly sell on the record behind them: which block, which day, which spray, who packed it, how cold it travelled. Assembled from diaries after the buyer asks, that record is worth little. Photographs, scans and readings attach to the lot as the event happens, so audits and customer claims are answered from a searchable history.

Built for farm conditions, not office conditions

Blocks sit far from the office, signal drops and the power goes when it goes. Capture and detection run on a small edge computer on site, meaning a rugged machine doing the work locally rather than in a distant data centre, so the gate and intake keep working with no internet. Handhelds queue offline and sync on return to signal.

Site assessment (week 0)

We walk the operation in a working week with your farm manager and finance people: muster point, weighbridge, intake line, stores, packhouse. We document what you already run and agree the one bottleneck worth attacking first.

Integration (weeks 1 to 3)

We connect to existing cameras, scales and payroll rather than replacing them, then run in observation only: the system records what it would have flagged and what it would have paid while your current process continues untouched.

Rules and guardrails (week 4)

Piece rates, overtime treatment, weight variance tolerance, grade escalation and who is notified when nobody responds, all tested against last season's own records before anything acts.

Go live and optimise (week 5 onward)

The system takes the workflow and we review weekly through the early season, tuning thresholds and removing nuisance alerts. A first system is typically live in about four to six weeks.

Questions buyers ask

Our peak is three months away. Any point starting now?

That is the right time. A first system takes about four to six weeks, and the observation period needs real activity to tune against, so the rules are tested before volume arrives. Mid-harvest starts are possible with a narrower first scope.

Half our farm has no mobile signal. Does this still work?

Yes, provided the design accounts for it. Devices and edge computers hold data locally and sync on reaching the farm network, so a remote block records normally and catches up. Coverage affects how fast an alert reaches a person, and you hear that at the assessment.

We already have farm and accounting software. Do we replace it?

No. Those hold your ledgers, blocks and stock and should keep doing so. Our work is capturing the physical event accurately and pushing it into what you already run, so nobody retypes a weighbridge ticket or a gang sheet.

How do workers react to cameras and biometric clocking?

Better than most managers expect when it is explained honestly, because piece-rate workers gain an accurate record of what they produced. Before go-live you decide in writing what is captured, how long it is kept and who may view it, and anything feeding a disciplinary process is reviewed by a person.
